How to Use Mufungo POS: Complete Guide for Shop Owners and Staff

Mufungo POS: Store & Inventory

Free POS for Android — sell, track stock, invite staff & print Bluetooth receipts.

Get on Google Play

Mufungo POS is a point-of-sale app for retail shops. You can ring up sales, track stock, manage customers and expenses, invite staff, print Bluetooth receipts, and sync your shop to the cloud. This guide walks through every main action in the app.

Get started: create an account or sign in

On the sign-in screen you can:

  • Sign in with your email and password.
  • Create account with email, password, store name, and your name.
  • Continue with Google for one-tap Google sign-in.
  • Continue as guest to try the till on this device only (no online backup until you log in).

After email signup, open the verification email, enter the code on the verify screen, and tap Verify email. If you did not get a code, use the resend option on that screen.

Create your company or choose a shop

If your account has no shop yet, the Create company screen asks for a store name and your name. Tap create to open your first shop as admin.

If you already belong to one or more shops, Choose a shop lets you:

  • Open a shop you belong to.
  • Accept a pending invite (enter the temporary password from the invite email).
  • Add another company (when your plan allows).
  • Delete a shop you own (admin only, with confirmation).
  • Use a different account (sign out and return to sign-in).

Unlock the till with a PIN

When the till is locked, pick who is signing in, enter their till PIN on the keypad, and unlock. Wrong PIN attempts are limited for email/password accounts. From the header or More screen you can tap Lock to lock the till again. Set or change your till PIN under Settings → Security.

Navigate the app

The main tabs are:

  • Sell — take payments at the till.
  • Products — manage items, prices, and categories.
  • Reports — sales results and exports.
  • Settings — account, plan, store, tax, receipt, printer, and security.

From the header you can open held Orders, jump to low-stock alerts, lock the till, switch shop (if you have more than one), open Settings, or sign out. On phone layouts, Stock, Customers, Expenses, and Staff are also available from shop management shortcuts.

Sell: build a cart and check out

On Sell:

  • Filter products by category or search.
  • Tap a product to add it to the cart (out-of-stock items are marked).
  • Change quantities, remove lines, or clear the cart.
  • Assign a customer (or keep walk-in).
  • Apply a sale discount when needed.
  • Tap charge / checkout to open payment.

At checkout, choose a payment method (for example cash), enter amount received for cash sales, confirm change, and complete the sale. You then land on the receipt screen where you can copy the receipt text, print to your Bluetooth printer, or finish and start the next sale.

Use Orders (tickets) to view held or recent orders, search them, and resume an open ticket back into the till.

Products: add and edit items

On Products (admin can edit catalog details):

  • Browse or search your catalog.
  • Add a new category.
  • Open an item or create a new one in the item editor.

In the item editor you can set name, category, icon, selling price, cost, taxable flag, stock quantity, low-stock alert, unit, track-stock toggle, barcode/SKU, and whether the item is active. Save to update the catalog used on the Sell screen.

Stock: adjust inventory

Open Stock to see on-hand quantities and low-stock alerts. Select a product, enter an adjustment (add or remove), save it, and review the movement history so you know why stock changed.

Customers

In Customers you can add a customer, edit name and contact details, view loyalty points, and pick customers during checkout so sales are linked to the right person.

Expenses

In Expenses, record shop costs with amount and notes, review the list, and delete an expense if it was entered by mistake. Expenses feed into report profit figures.

Reports

On Reports, pick a date range and review receipts, net sales, profit, and expenses. Signed-in shops on eligible plans can export:

  • PDF — available on Pro and above.
  • Excel — available on Ultimate.

If export is locked, the app prompts you to log in or upgrade your plan.

Staff: invite and manage your team

Open Staff (or Settings → Team). Admins can:

  • Invite staff with name, email, role (manager or cashier), optional till PIN, and whether they can sign in at the till.
  • Resend pending invite emails.
  • Edit an existing staff member’s role and access.
  • Remove staff so they lose shop access (they cannot rejoin until invited again).

Team size depends on your subscription plan. Cashier and manager actions at the till follow the permissions of their role.

Accept an invite as new staff

When you are invited, sign in with the invited email (or Google), open the invite from Choose a shop, enter the temporary password from the email, and complete any forced password reset if prompted. Then unlock the till with your PIN and start selling.

Settings: Account

Under Settings → Account you can:

  • See sync status and tap Sync to push/pull cloud changes.
  • Log in if you are a guest.
  • Switch shop to open another company on this account.
  • Open Team for staff management.
  • Sign out of this device.

Settings: Plan

Admins open Plan to view Standard, Pro, and Ultimate limits (team seats, products, and exports), buy or change a plan on Google Play, restore purchases, or see the shop’s current tier. Staff see the shop plan as read-only.

Settings: Store, tax, and receipt

Admins can update:

  • Store — store name, address, phone, email, website, and shop image/logo.
  • Tax — currency symbol, VAT %, and whether prices include VAT.
  • Receipt — which details appear on the slip (name, address, phone, website, footer message).

Tap Save on each section after you make changes.

Settings: Printer

Pair the printer with your phone first, then add it in Mufungo POS:

  1. On your phone, open Bluetooth settings and pair/connect your thermal printer.
  2. In the app, go to Settings → Printer.
  3. Choose paper width (58 mm or 80 mm).
  4. Tap Find printers, select your paired printer, and save it in the app.
  5. Run a Test print (unlock the till first if prompted).

You can disconnect or switch between saved printers later. The app connects to the printer when you print; it does not need to stay connected all day.

Settings: Security

Under Security you can set or change your till PIN, and change your account password if you signed in with email/password. Google-only accounts manage password through Google, not this screen.

Danger zone: clear shop or delete account

Admins will find these under Settings (account danger zone):

  • Clear shop data — permanently deletes the current shop from the cloud when you are the only staff member. You are signed out afterward and can create a new company.
  • Delete my user account — deletes your user and every shop you own (each shop must have you as the only staff). Confirm with your password, or with Google if that is how you signed in.

Both actions are irreversible. Remove other staff first if the app blocks the action.

Offline and sync tips

Mufungo POS keeps a local copy so you can keep selling when the network drops. When you are back online, use Sync (or wait for automatic sync) so sales, stock, and settings catch up. Guest mode stays on this device until you log in and upload or link a shop.

Quick daily workflow

  1. Sign in and open your shop.
  2. Unlock the till with your PIN.
  3. Add products if needed, then sell from the Sell tab.
  4. Print or copy the receipt.
  5. Adjust stock and record expenses as the day goes.
  6. Check Reports, then Lock or Sign out when you leave.

That covers the full set of day-to-day actions in Mufungo POS — from first signup to selling, stocking, staffing, printing, and account management.
